    Create a link for a new educator and text or email it to them. It works on a phone and closes itself after 30 days.

Renewal rules for every state
Blue Cards, WWCC clearances, Ochre Cards and RWVP registrations all run on different cycles, and CPR is yearly while HLTAID012 lasts three years. Ratio knows which applies in your state.

FAQ

Questions directors ask

The short answers. Ask us anything else and we'll reply the same day.

Do you store any information about children?

No. Ratio holds staff names, work emails, credentials and the files you upload. Nothing about the children in your care.

Does Ratio check the working with children register for me?

No. You run the check on your state's register — Blue Card Services in Queensland, the OCG in NSW, Service Victoria — and record the outcome in Ratio. It keeps the card number, the date, who checked and what they found. After 12 months it reminds you to check again.

Can staff enter their own details?

Yes. Send them a link. They put in their own cards and photos, and nothing touches your roster until you've looked at it and approved it.

Can I bring across the spreadsheet I already keep?

Yes. Export it as a CSV and import it. Ratio shows you every row before anything saves, and if someone's already in there it updates them instead of doubling up.

Does it work for more than one service?

Yes — that's the Group plan. Switch between sites from the top of the app, share educators across them, and see every site ranked by risk in the group overview. Deeper multi-site rollup is coming, and Group subscribers get it as it lands.

How does annual billing work?

Pay for the year up front and you get three months free. That's $449 on Solo instead of $599.88, and $1,349 on Group instead of $1,799.88. The trial comes first either way — nothing is charged until your 7 days are up.

When does an annual plan renew?

Same date each year, at the rate you signed up on. We email you before the charge goes through, so nothing lands out of the blue.

What happens if I cancel?

Cancel any time, no lock-in. Monthly runs to the end of the month. Annual keeps working until the year you paid for is done, then just stops. We don't refund unused months, so print your evidence pack before you go — that way you keep a dated record of where everything stood.
