Terms of use
These terms are maintained by the operator of Ratio and cover how you may use the product. They are written in plain English and are not legal advice. Have your own adviser review them before you rely on them commercially.

Your account
You sign in with a magic link sent to your email address, so keep access to that inbox secure. You are responsible for everything done under your account, including records added by staff using an onboarding link you issued.
What Ratio is
Ratio is a record-keeping and reminder tool. It calculates status from the dates you enter and produces reports from the records on file. It does not check any government register on your behalf, and it does not decide whether your service meets its obligations.
What you are responsible for
- Entering accurate credential numbers, issue dates and expiry dates.
- Running the actual check on your state or territory's official register and recording the true outcome.
- Making sure you have the right to upload each piece of evidence, and that your staff know you hold it.
- Meeting your own obligations under the Education and Care Services National Law and your state's screening laws. A green status in Ratio is a reflection of your records, not a regulatory clearance.
Acceptable use
- Do not upload information about children, families or enrolments.
- Do not upload unlawful content, malware, or files you are not permitted to hold.
- Do not attempt to access another centre's records, probe the service for vulnerabilities without permission, or interfere with its operation.
- Do not resell or republish the product or its reports as your own service.
Availability and changes
We aim to keep Ratio available and accurate, but the service is provided as-is and may be interrupted for maintenance or by a hosting provider. Features may change as the product develops. Where a change materially reduces functionality you rely on, we will give notice through the app.
Liability
To the extent permitted by law, and without limiting rights you have under the Australian Consumer Law that cannot be excluded, Ratio is not liable for regulatory outcomes, penalties or losses arising from records that were incomplete, out of date or incorrect when entered.
Ending the agreement
You can stop using Ratio at any time and ask for your account and data to be deleted. We may suspend an account that breaches these terms, and will tell you why. Export your evidence packs before you close an account, because deletion removes the underlying records.
Regulator material and copyright
Our guides and regulation updates are written in our own words. We do not reproduce, republish or adapt material from regulator, government or training-provider websites, and we do not present their material as ours. Where a rule comes from an official source we link to that source so you can read it in its original form on the site that publishes it.
Material on regulator and government sites usually remains the copyright of the publishing body, and is often licensed for personal or non-commercial use only, with an acknowledgement required and no derogatory treatment permitted. Ratio is a commercial service, so we do not rely on that permission: we summarise and link instead of copying. If you paste official text into your own Ratio records, you are responsible for that use and for keeping any notice attached to it.
Names such as ACECQA, Blue Card Services and other regulator or state authority names are used only to identify the body concerned. Ratio is independent and is not endorsed by, affiliated with or approved by any regulator. If you believe something on our site reproduces your material, tell the operator of your Ratio account and we will remove or correct it.
